| Future use | Enough grounds must remain recoverable without collecting every available fact. |
| Historical accuracy | A corrected account should improve the answer while retaining material earlier decisions and their basis. |
| Access | A record needed for one authorized use may contain information unnecessary for another reader. |
| Retention | Continuing obligations or disputes can require records while other information has reached its disposal condition. |
| Representation | Several correct participant accounts can coexist; a common storage location does not make their meanings identical. |
