CHK.3 - Fit a Checklist to Its Occasion of Use

Status: Stable

CHK.3:1 - Problem frame

Use this when a meaningful checklist is skipped, completed too early, used without the right participants, or stranded in software that the work does not otherwise use. People and AI agents can know the questions yet lack a workable occasion to answer them.

This Method arranges the interaction through which the aid contributes to actual work. Start by following one real or representative occasion: who encounters the question, at what moment, with which observation and means to respond? The first result is a usable arrangement, or an exact missing capability, resource or decision.

If the person can answer the question directly with existing support, retain that arrangement. A new training programme or software workflow is not the default response to an unused list.

CHK.3:2 - Problem

Possession of a checklist does not supply time, attention, understanding, observation access or a reason to use it. A form can be visibly complete while the conversation or check it was intended to prompt never occurred. Requiring another completion report can strengthen that substitution.

The practical problem is to connect a worthwhile aid to a moment when participants can use it truthfully and act on its results.

CHK.3:4 - Solution

CHK.3:4.1 - Locate an occasion that can change the work

Trace the work around a consequential question. Before which action is the answer useful? When is the subject observable? Is there a natural pause, handover or decision point? Who can supply the answer, and who can use it? FPF A.15.11 helps make an applicable Method noticeable at a real work occasion; the current question is which cue can lead to a useful attainable action.

Choose an interaction mode for the actual question. In read-do, the aid prompts an action and its check during performance. In do-confirm, a capable performer first does familiar work and then confirms selected conditions. A mixed arrangement can fit different questions.

Identify work that must remain viable while the aid is used. Arrange attention, timing and capable contributions so reading or recording does not defeat that work. During a live exercise, one facilitator might sustain participants’ activity while another person investigates a display fault; otherwise pausing the exercise may be the useful choice. Include interruption and a short time window in the trial when those conditions matter.

Name the initiating cue and the response to a missing participant or inaccessible observation. An aid that appears before its subject exists can invite speculation; one that appears after the only useful decision can become documentation alone.

CHK.3:4.2 - Make a truthful answer possible

Put the current question, help and response mechanism in the working environment. Agree who asks, who answers and how a negative or unresolved answer reaches someone able to decide. Where everyone already has access, a short spoken exchange can be enough.

Recover the specific capability needed to answer. Counting supplied items may be easy; interpreting a specialist defect can call for another person. HCD.3 helps identify the capability demanded by the work. Nearby explanation can help a capable user apply a distinction; it does not create all missing competence.

For human participants, inspect whether time pressure, hierarchy, mistrust or incentives discourage a truthful response. Explain the practical purpose, involve people who bear the burden, and change the arrangement that prevents use. An instruction to “be more diligent” does not diagnose the obstacle. Where introduction changes established organizational practice, OCE.6 and OCE.10 supply that work beyond this fitting Method.

When the proposed change still needs examination and agreement, OCE.12:4.3.3 connects preparation with relevant advisers, the organizational decision and a shared understanding of the agreed start. Return its accepted contributions and conditions to this work occasion: who supplies the observation, who has time to check, what help is available and who receives an unresolved answer. Confirming those arrangements can support first use; the trial below must still show whether the aid contributes to a useful handover. A new consequential objection or an unavailable resource returns to the affected decision before dependent use.

For an AI agent, provide the applicable description and criteria, usable tools, relevant retained observations and a way to express uncertainty. Mixed human/AI work needs a clear handover of unresolved judgement.

CHK.3:4.3 - Try the arrangement and repair the obstruction

Use ME.10 to arrange enactment and ME.11 to try representative work. Observe whether the user encounters the aid, interprets the question, obtains the grounds and chooses a useful continuation. In shared use, observe who contributes, whether another participant understands and responds, and whether a raised concern changes the work where it matters. Examine the intended interaction and the aid’s contribution separately: opening the form, reading its items and obtaining a useful conversation are different observations. Include a negative or unresolved case so the trial does not reward only effortless completion.

Choose observations from the unresolved question. An existing reliable record may settle whether the aid appeared at the intended occasion. It cannot by itself settle whether a participant understood or acted on a concern; inspect that interaction when it matters. Use a bounded observation of representative work before choosing continuing oversight. Include the observer’s effort and any change their presence makes to the work.

A first assisted use can reveal unfamiliar wording or a missing observation route. Provide enough help to diagnose and repair the obstacle, then distinguish what the user can do with that help from what is independently repeatable. Ask whether the aid changed the work result and what effort it moved to other people or tools.

After the assisted occasion, examine an ordinary later use where continued reliance matters. Compare when the aid influenced the work with the observations and entries actually made. A late record can faithfully report an earlier observation; it is different from inventing answers for omitted checks. Repair the reason for bypassing or fictional completion, including poor fit, missing access or incentives that suppress truthful answers. Choose any continuing oversight through the actual work arrangement; a penalty is not a universal checklist-design remedy.

Return a meaning defect to CHK.2, a coverage defect to CHK.1, an inadequate check to CHK.6, and a missing capability or resource to its supplying practice. Use ME.14 to compare worth and ME.16 to choose a change or retirement. Stop when the arrangement works at worthwhile cost; do not keep adding ceremony merely because some use remains irregular.

CHK.3:5 - Archetypal Grounding

The seminar organizer originally emails a spreadsheet a day before delivery. The person packing the cards sees it only after the box is closed. She marks “ready” from memory. The current description is in a separate document that she cannot open.

The repaired arrangement puts the three questions and the v2 description in the preparation workspace. The packer counts and inspects during assembly; the facilitator compares wording where instructional interpretation is needed. Before closing the box, the organizer confirms the identified set and unresolved questions.

Another reminder email would leave the missing access and late occasion unchanged. A permanent second observer would add effort before the team knows which difficulty remains. The organizer instead joins one initial use to inspect access and interpretation, then examines an ordinary later use if the arrangement will be relied on. Continued assistance is selected only for a difficulty that the revised arrangement still cannot resolve.

On first use, “readable” turns out to be interpreted differently by two people. They inspect the cards under the intended display conditions and ask the facilitator what the exercise needs. Repair that interpretation in the criterion and nearby help before asking the packer to answer again.

In the importer case, an agent is given criteria but no access to the stored catalogue after an error. Adding “verify preservation” to its prompt cannot produce that observation. The team supplies a bounded test environment and a tool that returns the before/after catalogue. If that tool fails, the agent records the unresolved question and returns it. A session restart restores the criteria and relevant evidence references in the agent’s working context.

These are constructed arrangements. A representative trial still has to establish whether their benefit warrants their interruptions and maintenance.

CHK.3:6 - Bias-Annotation

The person introducing the list can mistake resistance for indifference. Non-use may be a rational response to poor timing, inaccessible information or repeated low-value work. Conversely, convenient local use can conceal burdens moved to a coordinator.

Trial with the people and tools that will actually bear those costs. A successful assisted demonstration does not establish routine independent use or broad cultural adoption.

CHK.3:7 - Conformance Checklist

Inspect the arrangement at an actual or representative occasion:

  • Can the user encounter the current questions when their answers still matter?
  • Are the needed observation, interpretation, participants and response means available?
  • Can a negative or unresolved answer be expressed and used without substitution by a reassuring entry?
  • Has representative use exposed interpretation, interruption and moved burdens, including any assistance?
  • Is the chosen repair directed at the observed obstruction, with a simpler sufficient arrangement retained where possible?

CHK.3:8 - Common Anti-Patterns and How to Avoid Them

CHK.3:9 - Consequences

The aid becomes part of a usable work arrangement. It can prompt a consequential exchange and preserve honest uncertainty. The costs include observation access, help, coordination and tool maintenance. A successful local introduction establishes neither universal effectiveness nor cultural spread; broader change needs its own evidence and Methods.

CHK.3:10 - Architectural Rationale

Fitting remains distinct from constructing a good form because timing and access can defeat perfectly clear questions. It consumes the existing aid and changes its occasion, participants and support.

The alternative of uniform mandatory completion may simplify reporting, but it can leave the underlying obstruction unchanged. The selected Method diagnoses that obstruction and tests a proportionate arrangement. Direct skilled interaction remains preferable when a retained aid adds no useful support.

CHK.3:11 - SoTA-Echoing

Which support and observation arrangement makes truthful checking attainable at worthwhile cost? Adapt situated design, assisted trial and subsequent ordinary use, drawing on Gawande’s pause-and-redesign practice and Anthropic’s long-running-agent arrangements. The serious alternatives are an additional reminder using existing support, integration into the working environment, and continued assisted or directly observed use. Choose by the actual missing input: a cue for an unnoticed but attainable check, access or tooling for an unobtainable observation, and assistance for an interpretation or capability difficulty.

Sections 4.2–4.3 and the packer case make that choice concrete. Another email leaves the inaccessible v2 description and late occasion unchanged; making the description available during assembly removes those obstacles. A bounded joined first use can expose the remaining interpretation problem. Continued observation is worth its greater cost only when the unresolved use question or reliance warrants it. Reject using an attendance or completion record to answer a question about understanding, speaking up or acting on a concern.

The study by Facey and colleagues supplies counterevidence about documentation versus observed use. CheckPOINT supplies an alternative for observing team behavior; Ridgeway and colleagues distinguish conversation-aid implementation from the practice it supports. Their instruments help select an observation that answers the question; they do not warrant observing every use or transferring a generic engagement score. Urbach and colleagues found no significant mortality or complication reduction in their population-level before/after study, so introduction and completed forms cannot carry the outcome claim alone. Anthropic’s accounts are bounded engineering demonstrations, not comparative human/AI effectiveness evidence.

This choice accepts the cost of integration or assistance only for an obstruction a cheaper cue leaves in place. The sources do not rank all arrangements at equal effort. Section 4.3 therefore compares representative and later ordinary use, including observation cost and burdens moved elsewhere. Retain the existing arrangement when it already supports the needed action. Reopen the choice when access, capability, tools or incentives change, or when ordinary use fails despite successful assisted use.

CHK.2 supplies a usable template; CHK.4 enacts it at the arranged occasion. CHK.5 identifies shared contributions whose coordination affects fitting. ME.10, ME.11, ME.14 and ME.16 supply enactment preparation, representative trial, worth appraisal and improvement.
